A Beautiful HEART Ministries (ABHM) is a nonprofit reentry organization whose mission is to improve the quality of life for formerly incarcerated women, and girls by focusing on a four-pronged approach: economic advancement, empowerment, education, and wellness to facilitate change, restore healing, and reduce recidivism. ABHM is looking  for two full time Administrative Assistance to handle the day-to day communications for the Director and Advisory Board Members of the Alternative to Incarceration (ATI) Program. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This role is to support our ATI Program which works to promote the interests of the courts, and our clients. Previous experience in supporting senior executives is preferred as well as the ability to work well under pressure in a busy and dynamic environment.

 

Qualifications

Excellent interpersonal and communication skills, both written and verbal.

High attention to detail, strong organizational skills and excellent follow-through.

Trustworthy to handle highly sensitive and confidential information.

Highest degree of integrity, professionalism, diplomacy and discretion required.

Significant executive support experience, including C-level executives. Nonprofit board experience is highly preferred.

Ability to work well under pressure, adapt to unexpected events, and prioritize and multi- task in a deadline driven environment.

High degree of professionalism in dealing with diverse groups of people, including Board members, Working Group volunteers, Government officials, senior executives, staff, community leaders, donors, and funded partners.

Bachelor degree required or the equivalent of 5 years of experience as an Administrative Assistant.

Responsibilities 

 

Provide sophisticated calendar management to the Advisory Board Team. Prioritize inquires and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth-day-day engagements.

 

Support our Alternative to incarceration (ATI) department, which creates operations programs, solve problems, perform research to determine what works and what doesn't  to justice impacted individuals; complete a broad variety of administrative tasks that facilitate the Executive Team's ability to effectively lead the organization, including assisting with special projects; designing and producing complex legal documents, reports, and presentations.

Support the scheduling and execution of complex, in-person and virtual board meetings; collecting and preparing information for meeting with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports, including coordination of high-volume domestic and international travel, transportation and accommodation.

Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Advisory Board Team, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the Advisory Board Team's style and organization policy.

Track requests needed from internal stakeholders and work with senior executives to ensure that responses are provided in a timely manner; provide hospitality to all guests and help create a welcoming environment; respond to all inquires either by phone or email; distribute any related workload appropriately to team members; process, distribute and file all documents.

Position Type: Full Time Exempt

Compensation: $60,00 yearly. ABHM offers an excellent benefits package including comprehensive health, free basic dental coverage, vision insurance, short-term and long-term disability. Paid time off includes 14 days of paid vacation, and 12 paid sick days.
